Spam is unavoidable on the internet, but there are a few places in DataGrail that help address spam requests submitted to your company. Within the DataGrail admin console there are two places to mark a request as spam.
Close a request as spam in the Request Wizard
Within the Request Wizard, you have the opportunity to close a request as spam during step 1. During this step, you can close a request as spam just this one time or have all future requests submitted with the same data subject email address automatically closed as spam in the future.
To close a request as spam in the Request Wizard:
- During Step 1, select the Spam option
- Click “Close” and a pop-up will appear providing you with a Yes/No option to automatically mark requests with the data subject's email as spam in the future. If you click yes, all future requests from the same email address will automatically be closed as spam.
- Select the appropriate option by clicking yes/no and the current request will move to a Closed: Spam state.
Note: if a request associated with this email address has already been marked as spam, DataGrail will surface that to you to better inform your decision to block any future requests
Close a request as spam in Pending Action
The second place you can mark a request as spam is in the Pending Action step of a privacy request. From within the request, you can select the “Mark Spam” option from the right hand options. After clicking this, the request will move to a Closed: Spam state, but any future requests from the data subject’s email will not be automatically closed as spam.
Note: You can only mark the current request and all future requests from an email as Spam in the Request Wizard.
